An ideal small office scanner that is fast, with excellent scan quality and software, but its high price will deter home office users and occasional scanners

Our Verdict

If your daily routine involves chewing through thick stacks of office paperwork, the Ricoh ScanSnap iX2500 is the ultimate desktop workhorse. While standard scanners crawl at 10 to 20 pages per minute, the iX2500 blazes through duplex batches at 40 ppm, as our stopwatch measured, fed by a massive 100-sheet hopper. Its standalone color touchscreen makes walk-up usability simple, letting anyone digitize directly to cloud folders without ever touching a PC. Backed by flawless document OCR and razor-sharp text clarity, it turns miserable, multi-page scanning chores into effortless background tasks. For demanding offices, its raw speed and hands-free capacity are unbeatable.

Bottom Line A great choice for the busy home office, but probably too pricey and a bit bulky for most home usersA great all-purpose scanner that excels on every front, but comes with a lofty price tagA compact, portable scanner that is both fast and produces high-quality results, but won't crowd your deskWhile not the fastest, it excels in every aspect at a relatively low priceThis flatbed scanner is ideal for archival-quality photos and the occasional simple document, but impractical for everyday home office use

Scan Quality

The quality of scans produced by the Ricoh ScanSnap iX2500 is among the best we've seen in recent testing.

Receipt text is dark and crisp, easy to read with little background noise or chatter, and text documents offer sharp, fully filled text with minimal noise around the text and only the tiniest amount of pixelation around the lettering. Overall, the receipt and text document scans are very clean and sharp.

Handwriting is also captured with high accuracy and detail. We observed no missing fill, and the ink color is true to the original. Upon zooming in, we noticed very minor distortion and jaggedness along borders and lines. However, that was only at high magnification and with close scrutiny, and we didn't notice any smudging, line breaks, or lost light pen strokes.

Speed

This model sizzles at full tilt, making many other models look sluggish on the same tasks.

Our testing procedures highlight several common use cases, but the most typical is our 10-page, black-and-white, double-sided document scan at 600DPI. While many premium scanners handle this task at 10 to 20 pages per minute, the Ricoh ScanSnap iX2500 does the same at an impressive 40 pages per minute.

File Management

The Ricoh ScanSnap iX2500 does a great job of character recognition, making useful working text documents, and its software and interface are better than most in the industry.

Scans of standard text documents didn't miss a single word and were flawless. It also did a great job of scanning receipt text, making only a few errors where mixed text, punctuation, numbers, and characters appeared.

A large clear screen makes this great for quick scans, while robust file management software makes finding documents a breeze.   Credit: Matt Lighthart

Like many scanners, it also struggled with both handwritten numbers and text. We also noticed missing spaces in copied-and-pasted text in Google Docs and a few misspelled words. However, the post-scanning experience is great with the ScanSnap Home software, which provides the ability to add automatic file naming, as well as more than nineteen different application destinations for documents, and the ability to add additional locations.

Photo Scanning

The Ricoh ScanSnap iX2500 works well for most needs, but it doesn't produce archival-quality scans like a higher-resolution bed scanner might.

The Ricoh ScanSnap iX2500 is more of a document-scanning workhorse than a top choice for photo scanning. Across multiple picture scans to stress-test color saturation, gradient representation, fill, and contrast, among other minutiae, we found that the iX2500 tends to oversaturate blues, picking up subtle blues and making them significantly bluer than the originals.

In general, green hues were also less accurately captured and reproduced digitally, and we saw several results where light areas turned overly white and bright, while blacks and dark areas were also overcorrected. The result was starker contrasts in the digital versions than in the originals.

Should You Buy the Ricoh ScanSnap iX2500?

If you were considering a great all-around performer like the Ricoh ScanSnap iX1300but plan to digitize larger volumes of documents, stepping up to the Ricoh ScanSnap iX2500 is a logical move. Its 100-sheet feed tray adds greater document-feeding capacity, a screen improves usability for multiple home office users, photos digitize with greater fidelity, and it is about fifteen to thirty-five percent faster across common scanning tasks.

What Other Scanners Should You Consider?

If you don't need a 100-sheet feed tray and prefer a smaller footprint, you won't regret the little brother to the iX2500, the Ricoh ScanSnap iX1300. It offers very similar performance in a smaller package, without the large screen and smaller 20-sheet feed tray, which is still more than sufficient for most homes and small offices.
